Getting Started

Flow connects your Xero accounting data directly to Excel. Once set up, you'll have live access to trial balances and financial data from all your connected organisations.

To get started, you'll need:

  • A Xero account with access to the organisations you want to connect
  • Microsoft Excel (desktop version recommended for Power Query features)
  • Your Flow login credentials

How to Connect Your Xero Organisations

  1. Log in to your Flow dashboard
  2. Click Connect Organisation
  3. You'll be redirected to Xero to authorise access
  4. Select the organisation you want to connect and click Allow access
  5. You'll be returned to Flow and your organisation will appear in your list

Repeat these steps for each organisation you want to add. Standard accounts can connect up to 5 organisations; Plus accounts up to 30, and Premium up to 60.

How to Download and Use the Excel Template

  1. From your dashboard, click Download Excel Template
  2. Open the downloaded file in Microsoft Excel
  3. When prompted, enter your Flow credentials (shown on your dashboard under Show Credentials)
  4. Enable content and allow Power Query to refresh the data

The template uses Power Query to pull data directly from Flow. Your credentials are stored securely within the Excel file.

How to Refresh Your Data

There are two ways to get updated data:

In Excel

Click Data > Refresh All in the Excel ribbon, or right-click any data table and select Refresh. This pulls the latest data from Flow immediately.

Automatic syncing

Flow automatically syncs your Xero data daily at 2am UK time. When you first connect an organisation, an initial sync runs immediately so your data is ready within minutes.

Understanding Sync Schedules

Daily background sync: Flow automatically syncs your Xero data every day at 2am UK time. This keeps your data fresh without any manual intervention.

Sprint mode (Plus/Premium): Plus and Premium users can trigger near-real-time syncs directly from Excel via Power Query for when you need your data right now.

Initial sync: When you first connect a Xero organisation, Flow automatically syncs your data straight away so you can start working within minutes.

How to Disconnect an Organisation

  1. Go to your Flow dashboard
  2. Find the organisation you want to remove
  3. Click Disconnect
  4. Confirm the removal when prompted

Disconnecting an organisation from Flow does not affect your Xero data. You can reconnect at any time.

How to Upgrade or Downgrade Your Subscription

To upgrade

  1. Go to Settings from the sidebar
  2. Under Subscription, click Manage Billing
  3. Select the Plus or Premium plan and complete payment

To downgrade or cancel

  1. Go to Settings from the sidebar
  2. Under Subscription, click Manage Billing
  3. Select your subscription and choose to change plan or cancel

Changes take effect at the end of your current billing period. If downgrading to Standard, ensure you have 5 or fewer organisations connected.

Troubleshooting

No data appearing in Excel

  • Check that you've entered your Flow credentials correctly in Excel
  • Ensure the organisation has completed its initial sync (check your dashboard)
  • Try clicking Data > Refresh All in Excel
  • If using Excel for the web, switch to the desktop application

Connection errors

  • Your Xero connection may have expired. Disconnect and reconnect the organisation
  • Check that you still have access to the organisation in Xero
  • Clear your browser cache and try logging in again

Organisation not syncing

  • Wait a few minutes and check your dashboard for sync status
  • If the problem persists, disconnect and reconnect the organisation

Excel credentials not working

  • Copy your credentials directly from the dashboard (use the copy button)
  • Ensure there are no extra spaces before or after the credentials
  • Download a fresh copy of the Excel template
